March Board Meeting Minutes

1) New board member elections were held.  We are happy to welcome three new members this time around! Greg Nelson will be taking over as the Field/Equipment Manager.  Beck Walters will now be Treasurer.  Mindy Murray is our new Registrar.

2) Dan gave us an update on current traveling team rosters. Due to shifting numbers there will now be two U10 boys teams.

3) Plans were made for setting up the fields for the spring season. This timing of course depends on what the weather has in store.

4)Saturday morning program set up plans were made and roster numbers were discussed.  There will be a registration/ shirt collection table for new players on the first day ( April 14th).  Taking care of these things ahead of time is of course always encourage so your child can get right to the business of playing soccer! The registration deadline is March 17th for this age group.

5) The winter training sessions were a huge success and Dan plans to do them again in the future.

6) We discussed award options and budget for the future for the Saturday morning players.

7) The My Locker apparel site will be sending us $10 gift certificates soon to be passed out to the players.

February Board Meeting Minutes

The Board meeting was attended by Becky Walters and Greg Nelson, both of whom are looking to join the board for the 2012-2013 soccer seasons.

The winter meeting with Sun Prairie and Marshall was held at the end of January and they were very positive.  We will continue our in-house league with them with Dan Rolling taking over the scheduling for all teams involved.

Winter sessions continue to be very successful as we are averaging almost 20 players per weekend!!  This is a great turnout and there have been a lot of positives.  The sessions continue through the end of February.

Dan will contact the coaches to see what, if any, equipment needs replacing for the upcoming spring season.

The coaches for the spring have been set and almost every team has two coaches which is great to see.  The coaches meeting will be held the first part of March with the traveling teams kicking things off mid March with practices.  All teams will start playing April 14th if not sooner.

Dan is looking into the purchasing of four, 4’x6’ goals for the U8 and U7 teams to use as we move towards having them play set games for the Saturday Morning Program.  The question the board has is where they could be stored as we don’t want to leave them on the fields after practices.

Goal anchors will also need to be placed on all of the goals this year to prevent them from being moved or tipped over.  This is in response to state law that went into effect requiring all portable goals to be anchored down.

The next Board Meeting will be Wed March 7 at 6:30PM in the Village Hall.  Board elections will take place at the beginning of this meeting.

Jan 11th Board Meeting Minutes

1) Dan is working on a new website in the background that will most likely be made live after this spring season.  It is user friendly and will be easy to pass from Webmaster to Webmaster as the years go by.

2) We will once again have Empire Photography take pictures for us this spring as we loved the work they did last time!

3) Dan will be meeting with Sun Prairie and Marshall later this month to work out spring schedules for traveling teams.

4) We will be seeking more input as to whether there is an interest in having the U8 kids play a few games against teams outside of our community.

5) Winter Training session have been a huge success so far!  They will continue to run until Feb 26th. See the calendar for more details.


6) Registration is now open for spring!

Nov 16th Board Meeting

1) The board discussed and approved reducing the time to 1 hour for the Kindergarten group and reducing  the fees to $20 starting for the 2012 fall season.

2) An application as been sent to the school hoping to hold winter training sessions on Sunday afternoons in the AUX gym.  It would start the 1st of Jan 2012 and probably run for 5 weeks.  Dan is confirming with our insurance that the policy will be in effect for this time period.

3) The new apparel site through MyLocker.net is up and running.  This has been emailed to all PAYSO members allowing them to order apparel and other club items any time of the year.  The club receives a 12% commission on all sales.

4)  The board position descriptions were revised and approved.  They only major change was the combining of the Field Manager and the Equipment Manager into one position.  We felt this would be easier for one individual after the shelter is completed and have an area  to store the club team equipment and field equipment.

5) The board approved spring registration to begin after the 1st of Jan with a cut-off date of mid March in order to complete rosters and organize teams.

6) The end of the year surveys were reviewed and out of 109 players we had 35 responses.  It was a great tool to help us get feedback from the parents as to what they saw during the season as well as to help us make changes to improve what we do.

7) Paul is taking the lead in creating a PAYSO scholarship.  It is still in the developmental stages.

8) We also discussed creating team rosters with player and parent info that we could distribute to the parents at the beginning of the season so everyone would have a contact list in the event someone needs a ride or things come up that need to be coordinated.  Dan will contact the parents to make sure they are OK with the info being given out.

9) Dan spoke with Daniel Build and the organization needs to fill out a permit that allows us to continue to use Valley View Park and the right to conduct activities there.  It is just a formality and Dan will complete the necessary documents to submit to the Parks Commission.

10) The board will also put together an announcement to put into the Poynette Press regarding the upcoming spring season and registration as well as solicit new board members and volunteers for the club.  It was decided the club will also post the board descriptions so the community knows what it takes to be involved.

Oct. 5th Board Meeting

1) Dan let us know that the U14 team  has been covered as far as the remaining practices and games this fall season.

2) We discussed possible numbers for the different age groups in the spring. And the possible numbers of coaches that will be needed. Of course this is always a changing number.

3) In the future we will look into an adult work crew day for lining the fields.  Volunteers would assist the new field manager with this task.  Dan and Paul will line them one more time this season.

4) Dan and Paul will meet with village leaders to discuss our use of the future concessions stand in the Valley View Park building that is due to be build next spring.

5)We will be revamping and reopening the PAYSO clothing fundraiser soon for possible holiday gifts.  Dan will send out an updated email as well with new dates, etc.

6) We plan on having Empire Photography take pictures for us again next spring as they did such a wonderful job last time.

Sept. 6th Board Meeting

1) We are sorry to see two of our board members Laura and Alex move to FL.  We spent some time talking about how to cover their positions for the rest of this fall and in the future.  As always please give Dan a call if you would like to join the board.

2) Fall Fundraising forms are due Sat the 10th. They can be turned in at the registration table at the Saturday Morning Program or to your coach.

3) Please stop by the registration table to pick up your child's new shirt for the Saturday Morning Program. We will also be collecting gently used equipment if you have anything to donate and feel free to check it out for anything you might need.

4) Dan will be getting more information re: the Youth Appreciation Night at the varsity soccer game on Sept. 19th soon.

5) Traveling team shirts will be handed out Fri Sept 9th from 5:30 to 7:30.

August 3rd Board Meeting Minutes

1)  Fall fundraising order forms are in the works and will be sent out soon featuring new items for fall.

2)  Coach's shirts will be ordered after sizes need are gathered at the coach's meeting on Aug 16th.

3)  The building and splash pad will not be completed at Valley View this fall. This means no concession stand  or storage for us for now.  The playground, parking lot, sidewalks and landscaping should all be completed by the time the Sat. am program starts.

4) The fields will be mapped out and possibly reconfigured soon to rotate the heaviest wear and tear areas.

5) Fall sponsors are being lined up, a complete list will be posted soon.
